Needs attention

What is listed, in which order, and what you can do with it.

Needs attention is the list of everything that needs a person: backups that failed or went quiet, reports nobody could read, and alert channels that stopped delivering. Healthy backups never appear in it. This page lists every kind of item, the order they come in, and what you can do with them.

Failures, Missing reports, a failing alert channel and a missing alert channel are critical. Warnings, size drops and unread emails are warnings.

States and tabs

Items about a backup's result (failed, missing, warnings and integrity checks) are alerts, and they have a state. The tabs filter by it:

  • Open: nobody has acted on it yet.
  • Acknowledged: someone has seen it and is on it.
  • Snoozed: hidden from Open until a set time.
  • Resolved: closed, by a good report or by a person. The tab shows the latest 100.
  • All: every state.

The other items have no state. They stay until their cause is fixed.

Order

The default sort, Priority, puts what matters most at the top:

  1. Open, then acknowledged, then snoozed, then resolved.
  2. Critical before warning.
  3. By kind: failed, missing, alert channel failing, no alert channel, warnings, size drops, emails.
  4. Newest first.

You can also sort by Oldest first or Newest first.

Acknowledge

Acknowledge records who acknowledged it and when, and moves the item to the Acknowledged tab. It stays listed until the backup recovers. Your teammates see "Acknowledged by" with your name, so two people do not work the same problem.

If an acknowledged warning becomes a failure or a Missing report, the alert is raised to critical and the acknowledgement is cleared, so it shows as Open again.

Snooze

Snooze… hides an item from Open for a while. The choices are:

  • Until the next report, with the time it is due, when that is between 15 minutes and 7 days away
  • 1 hour
  • 4 hours
  • Until tomorrow 08:00
  • 24 hours

A snooze lasts at least 15 minutes and at most 7 days. When it ends, the item is open again. No new alert is sent at that point.

Resolve

Resolve closes an item by hand. It needs a Resolution note of up to 500 characters: say what was done, so the next person knows why it closed.

Notes are kept per backup. When you resolve, Fixed before on this backup suggests up to four earlier notes to reuse. An open item on a backup with an earlier note shows the latest one as "Fixed before: …", which often answers the problem before you open it.

You do not need to resolve a backup that recovers. A good report resolves the open alert by itself, shows it as "Resolved automatically" and sends a recovery notice to the channels that received the alert. A manual resolve sends "Resolved by" with your name to those channels. See Alerts and channels.

Assign

Each alert can be given to one teammate: the person handling it. Viewers cannot be assigned. Filter the list by Anyone, Assigned to me or Unassigned.

Size drops

"Backup shrank N%" compares the newest run that has a size with the median of up to seven earlier runs. It needs at least three earlier sized runs, a usual size of at least 1 MiB, and a run in the last 14 days, and it appears when the new run is half the usual size or less.

If the drop is expected, for example because data was cleaned up, click Expected to hide that drop. Size drops only appear here. They are never sent to alert channels.

Working on many at once

  • Tick items (or press x) and use Acknowledge or Resolve on the selection. One resolution note is saved on each of them. Clear empties the selection.
  • Acknowledge all acknowledges every open problem in the list.
  • Group by client puts each client's items together, with Acknowledge all for this client on each group.
  • A bulk action covers at most 200 items.

To narrow the list, use the client filter or Search problems. Export downloads the list as CSV.

Who can do what

Owners, admins and members can acknowledge, snooze, resolve, assign and mark size drops as expected. Viewers see the same list but cannot change it: for them, only moving and opening work. See Team and security.

Paused clients

A paused client's backups never turn Missing and never open new alerts. Reports that arrive while it is paused still update each backup's status. An item that was already listed shows "Client paused".

Limits

  • The Resolved tab shows the latest 100 resolved items. Older ones are in each backup's history under Past alerts.
  • Bulk actions cover at most 200 items at a time.
  • A snooze cannot be shorter than 15 minutes or longer than 7 days.
  • Email items cover the last 7 days. Older unmatched emails are still in the Inbox.
  • Size drops are listed here only and never alerted.
