Billing and plans
Plans, the trial, job limits, payments and cancelling.

You pay for the number of backup jobs you monitor. Every plan has every feature, and clients, devices and team seats are unlimited. This page explains what counts, how the trial works, and what happens when you change plan, a payment fails or you cancel. Current prices are on Pricing.
How the plans differ
Plans differ in two things only:
- Backup jobs: how many jobs you can monitor at once.
- Retention: how long report emails, alert history and report history are kept. Larger plans keep more.
Nothing else changes between plans: missing-report detection, every alert channel, reports, the Report API, roles and two-factor authentication are on every plan, including the trial. Settings → Billing shows what your plan includes under "Included in", and Pricing compares them all. For more jobs than the largest plan, contact us.
What counts as a backup job
A backup job is one job you set up in BackupSentinel to watch one backup task. You pay for configured jobs, not for runs: a Veeam job that protects 20 virtual machines and reports after every session is one job, however often it runs.
- Report emails, alerts, devices, clients and team members are never counted.
- Reports that do not match a job wait in the Inbox without using one, until you choose to start monitoring them.
- A job keeps counting while it exists, also when its client is paused or archived. Delete a job to free its place.
The free trial
A new workspace starts a 14-day free trial with the Starter plan's limits. No credit card is needed to start.
Nothing is charged automatically when the trial ends, because there is no card on file. If you have not chosen a plan by then, the workspace is suspended and monitoring stops. Your clients, jobs and settings stay, and choosing a plan resumes monitoring. See what stops below.
Choosing a plan
Owners and admins choose a plan in Settings → Billing with Choose a plan. Pick the plan and Monthly or Yearly, then pay on Stripe's secure checkout page. Billing shows the new plan once Stripe confirms the payment, usually within a few minutes.
- Monthly is paid each month. Cancel any time; it ends at the end of the period you paid for.
- Yearly is paid once a year and renews automatically. You get a reminder 30 days and 7 days before it renews.
Once you have a subscription, the same button reads Update plan:
- An upgrade applies immediately, and Stripe charges the prorated difference.
- A downgrade applies at your next renewal, so you keep your current plan and its limits until then.
- A monthly plan can move to yearly at any time. Moving to yearly bills a full year now, minus what is left of the current month. A yearly plan stays yearly.
The job limit
Billing shows how many backup jobs you monitor against your plan's allowance. At 80% of it the app tells you.
At the limit nothing stops. Every existing job keeps being monitored and alerting, and nothing is paused or deleted. Only adding another job is blocked, including Start monitoring from the Inbox, until you upgrade or delete a job you no longer need.
Failed payments
If a renewal payment fails, Stripe retries it and BackupSentinel emails you about it. If your bank asks you to confirm the payment (3-D Secure), Billing shows Confirm payment.
- On the third failed attempt, the workspace is suspended.
- A later successful payment, for example after you update the card with Manage billing in Stripe, lifts the suspension automatically.
When a workspace is suspended or cancelled
A workspace is suspended when its trial ends without a plan or after the third failed payment, and cancelled when its subscription ends. In both cases monitoring stops:
- Report emails are skipped and not stored. Reports your backup software sends during this time are lost, and nothing can replay them later.
- Reports sent through the Report API are refused with
403 Workspace suspended. - No backup is checked for missing reports and no alert is sent.
- Scheduled reports are not sent, and share links stop working.
- The dashboard is read-only: nothing can be added or changed.
What still works: you can sign in, read what is there, download the full data export, and manage billing to choose a plan again.
Cancelling
Cancel in Settings → Billing with Cancel subscription, or from Stripe with Manage billing in Stripe.
- A paid subscription ends at the end of the current billing period. Monitoring keeps running until then, and Billing shows the date it ends. To change your mind, open Manage billing in Stripe and choose Renew subscription.
- A trial without a card cancels immediately.
- Your data is kept after cancelling. To remove it, the owner can delete the workspace.
Invoices and billing details
Settings → Billing lists your last 12 invoices, each with a PDF to download, and your billing details: company, address, VAT number and payment method.
- Edit the company name, address and VAT number on Billing. Invoices from then on use the new details. The card is changed on Stripe's page.
- Checkout asks for a VAT ID for businesses in the EU, the UK and Switzerland. Prices exclude VAT; applicable taxes are calculated at checkout from your billing address and VAT number.
- Invoices and billing emails go to the workspace owner. To send them somewhere else, such as your accounts team, set a Billing email.
Limits
- Only owners and admins can change the plan, cancel or edit billing details.
- Reports sent while the workspace is suspended or cancelled are not stored and cannot be recovered.
- A yearly plan cannot be switched back to monthly. To stop it, cancel and it ends on the renewal date.
